Host the CEEA-ACÉG Conference
Interested in hosting the CEEA-ACÉG annual conference??
To submit a proposal to host, please email [email protected] with the information listed below. Of course, it may be beneficial to first reach out unofficially and have a conversation before starting to assemble the required documentation.
Required information:
- Institution name
- Names of proposed organizing committee members (at minimum, please include names for the Conference Chair, Technical Chair, and Treasurer)
- A brief description of your proposed conference theme (the theme should be topical and relevant to the engineering education community), and your vision of how sessions, workshops, other activities, and/or the conference location support the theme
- A brief description of the proposed meeting location (e.g., on campus, at a hotel, etc.) and the facilities available for conference sessions and participant accommodations
- A preliminary budget spreadsheet with proposed expenses and revenue structure (see provided template on the right)
- Proposed meeting dates (keeping in mind other engineering or higher education conferences to avoid conflicts)
- A signed letter of support from institutional leadership (president, dean, or vice-dean as appropriate)
- Any other relevant materials to support your proposal
The CEEA-ACÉG conference is typically held over four days (usually Sunday to Wednesday) in June, and attracts over 300 engineering education professionals from across the country and beyond. Applications from all institutions are accepted, with priority given to those located in that year’s preferred region (see planning document on the right).
Applications will be reviewed for consideration by the Conference Committee of the CEEA-ACÉG Board.
Benefits to Hosting the Conference
CEEA-ACÉG has an agreement in place to share profit between the host institution and the association. Refer to details listed in the MOU template provided.
- Hosting the conference raises the visibility of engineering education at your institution, including with senior university officials. It is also a highly visible opportunity for your institution to support and advance the field of engineering education in Canada and abroad.
- Participating in the planning, organizing, and delivering a conference is an excellent opportunity for faculty to gain valuable educational leadership and service experience, in a form recognized in promotion and tenure cases. Host campus staff and students who get involved in organizing the conference also gain valuable leadership skills and experiences.
- Hosting provides the opportunity for a large number of your students, staff, and faculty to attend and participate in the conference, to expand networks, and to learn from engineering education leaders from across the country.
- Hosting the conference raises the visibility and improves the reputation of your institution and your engineering program externally (within the region, and with other universities and industry throughout the country, and internationally).
- The University President, Faculty Dean, Department Head, or another senior official has the opportunity to welcome and address the conference participants. The process of preparing the remarks often serves to deepen their understanding and appreciation of engineering education engagement and learning at your institution.
- Local provincial or municipal elected officials also have the opportunity to welcome and address conference participants, or sometimes they may write a welcoming letter to include in the programme or proceedings. As with university officials, this experience deepens the understanding and appreciation of engineering education.
